We provide assistance in managing motor accidents, handling insurance claims and providing uninsured loss recovery. We can arrange for vehicles to be collected and repaired. We can arrange hire cars or courtesy cars. Our clients can be large corporations who run a fleet of vehicles or they can be insurance companies who want us to help their insured’s. We therefore receive a lot of personal data about people who have been in car accidents or who have witnessed car accidents.

If we work for a corporation they may provide us with details about their vehicles and the people who drive them. Where we work for insurers they will provide with details about their insured's and the vehicles they drive. We may also be advised of details about others who may be involved in the motor accident, such as a third-party, a passenger or perhaps a witness.

We may also need to obtain information from databases maintained by insurers and other parties which provide details about vehicles, their owners and drivers. Some of these databases help to combat fraud, others help identify vehicles which have been totally written off or vehicles that have been stolen and some will record vehicles with outstanding debt or charges against them.

Personal data is provided to us in many forms of media which we then convert into electronic data. We also record some telephone calls for training, monitoring and legal purposes. Vehicle recovery firms need to know where to go to collect the vehicle and who will be there at the accident site. If we need to seek an uninsured loss recovery then we will need to contact the third party who we think may be at fault and then their insurance company.

We will also use your data internally for audit purposes, training, financial accounting and management and in the preparation of reports. We are part of a larger group and we may share your information with other member companies of the same group who assist us in the work of services we provide. Some of those companies are situated in countries outside of the EEA.

In order to do the work that we do, we have to maintain certain licenses and permissions. Where requested to do so we may need to share your information with the appropriate regulatory authorities.

We operate a data destruction policy so that we do not retain data for longer and we need to. For some data there are legal requirements concerning the length of time that record must be retained and we have to abide by those rules.
